Question 1

What is Conwayo?

Accepted Answer

Conwayo is a conversational registration platform for scientific and medical congresses. Instead of a web form, delegates can register via WhatsApp, phone call, or a traditional web form — organisers choose which channels to offer.

Question 2

Who is Conwayo built for?

Accepted Answer

Professional congress organisers (PCOs), medical and scientific societies, and conference agencies running events for delegate groups ranging from small professional meetings to large multi-day congresses.

Question 3

Is there a mobile app to install?

Accepted Answer

No. Delegates use channels they already have — WhatsApp, a phone call, or a browser. There is nothing to download or install.

Question 4

How long does it take to set up a congress?

Accepted Answer

Setup time depends on congress complexity (ticket tiers, services, billing rules), but no technical team is required on the organiser's side.

Question 5

What registration channels does Conwayo support?

Accepted Answer

WhatsApp, voice (phone call), and a standard web form. Organisers decide which channels to expose to their delegates for a given event.

Question 6

How does WhatsApp registration work?

Accepted Answer

A delegate sends a message to the event's WhatsApp number. An AI assistant collects the required registration details, confirms ticket and billing choices, and sends a payment link or invoice — all within the conversation.

Question 7

How does phone (voice) registration work?

Accepted Answer

A delegate calls the event's registration line and speaks with a voice AI assistant that collects the same registration details as the WhatsApp flow and confirms the booking.

Question 8

What happens if a delegate has trouble during WhatsApp or phone registration?

Accepted Answer

Automated registration is backed by human support. If the assistant cannot resolve an issue, a member of the organiser's team can step in.

Question 9

Can a delegate switch language during registration?

Accepted Answer

Language is set at the start of the conversation (for example, by scanning a language-specific QR code) and stays consistent throughout that registration.

Question 10

What payment methods are supported?

Accepted Answer

Card payment via Stripe for individual and company registrations, and bank transfer against a formal quote for institutional buyers who require it.

Question 11

How does institutional (company) billing work?

Accepted Answer

Company registrations can be billed with a proforma invoice referencing the company's VAT/tax ID and, where required, a purchase order number.

Question 12

What is a proforma invoice?

Accepted Answer

A proforma invoice is a preliminary bill issued before payment, stating the goods or services and price, used by institutional buyers for internal budget approval before the final invoice is issued.

Question 13

Does Conwayo integrate with accounting/ERP systems?

Accepted Answer

Yes. Conwayo connects to the organiser's ERP to generate quotes and invoices automatically from registration data, avoiding manual re-entry.

Question 14

Can attendees registering as part of a group pay individually?

Accepted Answer

Yes. Group orders can be split so that individual attendees within the same registration receive and pay their own invoice or payment link.

Question 15

Is Conwayo GDPR compliant?

Accepted Answer

Yes. Conwayo acts as a data processor on behalf of the organiser (the data controller), with EU-based data hosting and a documented Data Processing Agreement.

Question 16

Who are Conwayo's data subprocessors?

Accepted Answer

Subprocessors used to deliver the service (such as cloud hosting, transactional email, payments, and voice/WhatsApp AI providers) are disclosed in Conwayo's Privacy Policy and DPA.

Question 17

How is registration data secured?

Accepted Answer

Access to registration and payment data is role-based and restricted by organisation, with audit logging on sensitive actions such as role or payment status changes.

Question 18

What is CME tracking?

Accepted Answer

CME (Continuing Medical Education) tracking records which sessions a delegate actually attended, which medical and scientific congresses use to issue attendance certificates and credit hours.

Question 19

How are badges and check-in handled?

Accepted Answer

Each registered attendee receives a QR-coded badge. Onsite staff scan the code to verify payment status and record entry in real time.

Question 20

What happens if a registration is refunded or cancelled?

Accepted Answer

Cancellations and refunds are processed against the original order, including partial refunds for group registrations where only some attendees cancel.

Question 21

Does Conwayo support multiple languages?

Accepted Answer

Yes. Event pages, registration conversations, and confirmation messages can be presented in multiple languages depending on the event's configuration.

Question 22

What happens with bank transfer payments — how does Conwayo know they've been paid?

Accepted Answer

Incoming bank statements are matched automatically against outstanding quotes by reference number, and matched orders are marked as paid without manual reconciliation.
