Congress & Registration Glossary

Key terms used in congress registration, institutional billing, and conversational AI registration.

    Attendee / Delegate

The individual registering to participate in a congress or event, as distinct from the payer or billing contact.

    Badge / QR check-in

A printed or digital pass containing a unique QR code, scanned onsite to verify an attendee's payment status and record entry.

    CME (Continuing Medical Education) tracking

Recording which sessions a delegate actually attended at a medical or scientific congress, used to issue attendance certificates and credit hours.

    Conversational registration

A registration method where a delegate completes sign-up through a natural conversation (via WhatsApp or phone) instead of filling out a static web form.

    Institutional billing

A billing arrangement where a company or institution, rather than the individual delegate, is invoiced for one or more registrations — typically requiring a VAT/tax ID and purchase order reference.

    OIB

Croatia's unique personal and business identification number, required on Croatian invoices for both individuals and companies.

    Payer type

A classification of who is financially responsible for a registration — an individual or a company — which determines the billing and invoicing flow used.

    PCO (Professional Congress Organiser)

A specialised agency that plans and manages logistics, registration, and often finances for scientific, medical, or corporate congresses on behalf of a society or client.

    Proforma invoice

A preliminary invoice issued before payment, used by institutional buyers to obtain internal budget approval ahead of the final invoice.

    R1 invoice

A Croatian invoice format used for VAT-registered business-to-business transactions.

    Registration channel

The medium through which a delegate completes registration — for example WhatsApp, phone call, or web form.

    Registration drop-off

The point at which a prospective delegate abandons a registration process before completing it, commonly linked to long or complex web forms.

    VAT reverse charge

An EU tax mechanism for certain cross-border B2B transactions where the buyer, rather than the seller, accounts for VAT.
